TITLE:

Assistant to the President/CEO & the COO

QUALIFICATIONS

Over 4 years experience supporting a senior executive or CEO, taking meeting minutes and composing correspondence. Must have strong personal computer skills, including proficiency with MS office products in a window environment to include Microsoft Word and Excel (typing speed 55 wpm, test administered). Must have speedwriting skills and have the ability to transcribe. Ability to maintain confidential information. Must have excellent telephone skills. In addition, must have excellent organizational, prioritization, proofing and verbal/written communication skills. Must be flexible and able to work under pressure. Courses in Political Science, Business Administration, English or related field is highly desirable.

RESPONSIBILITIES

Serves as Assistant to the President/CEO and the EVP/COO. Coordinates functions of the President/CEO’s and the EVP/COO's office, including managing the flow of information in the President's office, ensuring appropriate responses and follow up from the President's and EVP/COO's office are prepared in a timely manner; ensuring the President is kept informed of and/or involved in pertinent issues; distributing information/assignments to EMT members when appropriate. Maintaining discretion and following protocols; screening visitors/callers, determining the priority and importance of each, prior to forwarding to President/CEO and EVP/COO. Responds to inquiries/requests from CUNA Board members, league presidents and individuals from other organizations.

Produces confidential correspondence and reports from written drafts, personal dictation, and proofreads final copy of reports and correspondence. Independently composes reports and correspondence to answer routine situations.

Writes acceptance letters and thank you letters for the President/CEO pertaining to speaking engagements and trips. Coordinates travel arrangements for the President and EVP/COO, as needed. Ensures that the President and EVP/COO are reimbursed for all business expenses incurred.

Maintains the Presidents’ and EVP/COO’s calendars when necessary, scheduling appointments, meetings, functions and other special events. Arranges conference calls and special events.

Coordinate with and keeps other Executive Assistant in the President’s office informed on all office activities.
